Our client, a distinguished law firm, is seeking a Temporary Events Specialist to join their NYC team. The position will start ASAP and will extend until end of May 2025, with potential to extend. Hours are 9:30am-5:30pm with flexibility to stay later and work weekends as needed. This position is in office four days/week with flexibility to come in on Fridays as needed. Hourly rate is up to $45/hr
Responsibilities
- Plan and execute firm-hosted events (seminars, receptions, dinners and webinars) through the development and implementation stages. Communicate event details and key planning dates to necessary team members. Make appropriate recommendations to assist in building practice group and firm brand.
- Manage and track expenses to adhere to overall events budgets.
- Responsible for event management from planning stage to on-site details, including (but not limited to) overall event design, invitations, mailings, RSVP tracking, room set-up, catering, audio visual, and registration.
- Coordinates and evaluates venue research, makes recommendations, negotiates contracts and compares costs to finalize decisions.
- Oversees and manages all on-site details of events from set-up to breakdown; ability to troubleshoot as necessary.
- Prepares communications for successful event outreach and gathers feedback cross-functionally; evaluates all event outcomes to provide post-event ROI analysis.
- Supports large-scale internal events.
- Coordinates with the Creative team on event related materials such as invitations, copy, signage, advertisements, and other firm-branded mediums.
Qualifications
- Bachelors' degree with 3-5 years of event planning experience, preferably in the legal or professional services industries. Prior event planning is a must.
- Skilled multi-tasker who can set priorities and meet multiple deadlines in a fast-paced environment, the ability to follow-up and follow-through
- Impeccable attention to detail, use of good judgment and problem-solving skills
- Highly capable of working effectively and efficiently in an independent manner, as well as collaboratively as part of a cross-functional team across multiple offices
- Ability to be a proactive starter with an exceptionally strong work ethic while also understanding the details of a project within the larger context of the identified goals and objectives
- Proficient with Microsoft office suite, Zoom webinar/meeting and other computer applications/skills
- Must be flexible to respond quickly and positively to shifting demands and opportunities; able to work under tight deadlines and handle numerous, detailed tasks
- Exhibit high energy, enthusiasm, positive attitude, and poise; articulate and confident
- Proven project management skills
- Exceptional organization skills
